Recommended: Completion of two speeches.

The meeting Chair is responsible for opening and closing the club meeting. The Toastmaster will provide you with the theme for the evening. This allows you to develop your opening comments to follow with the theme. Don’t steal the show from the Toastmaster; instead, build up the Toastmaster’s theme in your opening.

Before the meeting begins, find out the names of each guest. Make note of this on the front of your agenda. Note down any last minute agenda changes that the Toastmaster provides, and, if people are absent, help the Toastmaster find replacements.

Begin the meeting on time by banging the gavel. Welcome everyone and give your opening comments. Ask the VP of Membership for introductions of the guests. If any roles still have not yet been filled, ask for volunteers. Announce any changes to the agenda.

Note: If any guests arrive after the opening of the meeting, quickly and quietly find them a nametag and a seat. At the break, ensure they are given the full package and have the Toastmaster introduce them when the second half of the meeting begins.

After presenting the awards at the end of the meeting, the Toastmaster will return control of the meeting to you. Say a few words of thanks to the Toastmaster and ask for a round of applause. Ask for guest comments from each guest, and then ask for any announcements. When all announcements are complete, declare the meeting adjourned and bang the gavel.
